Terms and Conditions

7.1 Booking Holidays

• All holiday bookings for members must be made exclusively through the Club.

• Failure to comply will result in cancellation of membership without refund.

The Club invests significant resources in securing quality packages at competitive rates. Exclusive benefits are only available via our booking channels.

7.2 Payments

• All payments for holidays must be made in full at least 10 weeks before departure, in keeping with the policies of many travel providers.

• All payments are non-refundable.

• Members should carefully consider their availability and commitment before booking.

7.3 Group Travel Commitments

• For group bookings, please note that providers generally cannot cancel individual places without cancelling the entire group booking.

• If one member withdraws, this may risk cancellation for all participants.

• To protect both yourself and fellow members, mandatory travel insurance must be purchased at the time of booking. This ensures you and others are covered in the event of unforeseen circumstances.

7.4 Travel Insurance

• Adequate travel insurance is compulsory for all bookings.

• Members with pre-existing medical conditions must disclose them to their insurer and to the Club at the time of booking.

• Proof of valid insurance may be requested. Failure to provide it may result in cancellation of your booking.

• Insurance contracts exist solely between the member and the insurance provider. The Club does not handle claims.

7.5 Organiser Bookings

• Where a booking is made on your behalf by an approved organiser, the contractual relationship shall exist between you, the organiser, and the travel provider, as the travel provider is responsible for delivering the final services that complete your holiday. The travel provider may impose certain rules, conditions, and time limits which all holidaymakers are required to comply with. These requirements will be communicated to you by the organiser.
  
  
• The organiser is responsible for liaising with the relevant travel provider and for making all necessary arrangements on your behalf as instructed and agreed by you upon first payment, thereby ensuring that your holiday is organised efficiently and with minimal inconvenience to you.

7.6 Deposits

• Deposits are required to confirm bookings and are non-refundable.

• This reflects the Club’s upfront costs (e.g., accommodation, transport, activity reservations), which are also non-refundable to us.

• By paying a deposit, you secure your place and accept this condition.

7.7 Group Numbers

• Group sizes may fluctuate due to illness, cancellations, or other unforeseen events.

• The Club will ensure trips proceed smoothly regardless of group numbers, but cannot guarantee fixed participation levels.

7.8 Tour Leaders

• The Club endeavours to provide a Tour Leader on organised holidays, but this cannot always be guaranteed.

• In cases where a Tour Leader is unavailable, members are expected to continue with the trip as booked.
